01
Define the request before asking for prices
Give each requested part a line number. Add the vehicle make, model, year, available VIN, OEM or catalog reference, position and quantity. Include label and connector photographs when those details help identify the requirement. Explain which facts are confirmed and which still need a technical answer.
Describe acceptable wear, required accessories and intended destination. If the part number is missing, send the available evidence and request an identification review. A broad description such as “BMW headlamp” leaves too many possible variants for a comparable quotation.
02
Review evidence for the actual unit
Ask the seller to link the offered unit to the enquiry line. Its own photographs, visible markings and condition notes should stay together. A general warehouse video can introduce a business, but it does not establish the identity or condition of the part selected for your order.
Separate visible condition from functional evidence. Record which checks were performed, what the records actually show and what remains untested. An attractive photo or a stated mileage does not by itself establish fitment, operating condition or remaining service life.
03
Compare offers on the same basis
Compare the complete purchase scope before choosing a price. Identify the seller, offered unit and included accessories for every line. Note whether packing, local collection, onward freight and any agreed checks are included or quoted separately.
The working sheet below is an editorial planning example. It does not describe inventory or quote service terms. Add project-specific rows when your technical or receiving team needs more information.
| Purchase record | What to establish | Who confirms |
|---|---|---|
| Requested part | Reference, position, quantity and accepted condition | Buyer / technical approver |
| Offered unit | Actual markings, images and included components | Seller; buyer reviews |
| Commercial scope | Price items, warranty and return responsibilities | Contracting parties |
| Shipment release | Package identity, route and receiving conditions | Assigned logistics and receiving contacts |
04
Set approval and substitution rules
Name the buyer’s technical approver and record the decision against the offered unit. A substitute, changed accessory list or newly observed defect should return to that person for review. Keep the seller’s confirmation separate from the buyer’s fitment approval.
Agree when the item can be purchased and what happens if it is sold before payment or collection. Written hold and release instructions help the sourcing contact distinguish an approved purchase from a candidate that still needs evidence.
05
Prepare the consolidation and receiving handoff
Connect the approved unit reference to its packing list and outer package. Before dispatch, agree protection, packed dimensions, weight, receiving location and the party reviewing transport acceptance. Several sellers in one shipment may still have different commercial and return terms.
Check source documentation and destination requirements for the actual part and route. A marketplace listing does not establish permission to export, import or carry every component. Resolve these questions before committing to a shipment.
06
Use a sample enquiry to expose missing decisions
For an illustrative headlamp request, the buyer has a label photo but has not confirmed the connector revision. The seller offers a unit with a broken mounting tab. Record both open points, request the needed images and ask the technical approver whether the proposed condition is acceptable.
VIN EXPRESS coordinates Guangzhou supplier enquiries, condition records, consolidation and packing within an agreed scope. Send the evidence already available to discuss the next review. Availability, testing, pricing, warranty and transport arrangements are confirmed for the individual project.
