01
Confirm the unit and shipment scope
Match the offered unit, purchase line and dispatch instruction before preparation begins. Check whether attached accessories are included and whether loose components will travel in separate packages. Record any differences from the buyer-approved condition.
Identify the party responsible for preparation and the party authorized to release the shipment. Agree what evidence the buyer or receiving contact must review. A part still awaiting technical or commercial approval should not enter dispatch simply because a collection date exists.
02
Assign fluid and protection reviews
Ask the responsible handler to confirm fluid condition and the preparation needed for the actual component. Follow applicable OEM, workplace, environmental and transport requirements. Any necessary draining, cleaning or protection work belongs with suitably qualified personnel.
Record the completed scope and remaining limitations. Openings, exposed interfaces and vulnerable external items may need a defined protection plan. A description such as “cleaned” or “drained” should be supported by the agreed record, not inferred from a photograph.
03
Approve support and package information
Agree a support and restraint arrangement suited to the actual item and handling route. Review vulnerable areas, stability and receiving equipment with the responsible logistics contacts. Industry preparation references can help frame these questions but are not a universal package specification.
Keep packed dimensions and gross weight with the chosen package description. If the plan changes after approval, update the measurements and release record. A transport quotation based on preliminary estimates should be reviewed when final package information is available.
| Handoff record | What to connect | Decision owner |
|---|---|---|
| Identity | Approved unit, accessories and purchase line | Buyer / seller |
| Preparation | Completed scope and remaining limitations | Qualified preparation contact |
| Package | Support plan, dimensions, weight and labels | Packing / logistics contacts |
| Release and receipt | Approval, documents and exception evidence | Assigned release and receiving contacts |
04
Confirm carrier and destination acceptance
Disclose the actual commodity and condition to the transport contact. Confirm applicable restrictions, documentation and destination receiving arrangements before dispatch. Used mechanical parts, batteries and other components may require different reviews; do not treat one acceptance as permission for every item.
Clarify responsibilities for local collection, main carriage, import arrangements and final receiving. The written proposal should identify the agreed scope and any unresolved requirements. A planned departure date is not a guarantee that every acceptance check has been completed.
05
Preserve the handoff and exception evidence
Connect final package labels, unit references and packing-list lines. Agree photos showing the item before protection, the completed package and its identification. Retain the release instruction and note who authorized any variation from the approved plan.
Give the receiving team the references they need to compare quantity, package identity and observed condition. If damage or a mismatch is found, record it and follow the agreed notification procedure. Freight claims, product warranty and technical acceptance remain separate decisions.
06
Example: final packaging changes the shipment data
In an illustrative project, protective supports make the final package larger than the first estimate. Update the packed measurements, weight and handling information, ask the transport contact to reconfirm the plan, and keep the buyer’s release with the final package record.
For a VIN EXPRESS Guangzhou enquiry, provide unit details, destination, accessory scope and known handling restrictions. Consolidation, packing, onward transport and any U.S. receiving work are assessed for the actual project. Confirm acceptance and responsibilities before sending goods.
