01
Record the mismatch before choosing a replacement
Capture the order, requested part number, shipped SKU, quantity and labels on the item and package. Record the customer’s reported problem in their own terms, such as an unexpected connector, mounting arrangement or kit content. Add photographs showing the observed difference.
A fitment complaint is evidence to investigate. It does not yet identify whether the cause is a catalog selection, a picking error, a supplier variation or an application condition. Hold affected stock or orders according to the agreed exception rules while the responsible owner reviews the case.
02
Recheck the catalog conditions alongside the VIN
Confirm that the catalog search used the intended vehicle and market. Revisit installation position, engine or transmission specification, equipment notes and any production-date limits shown for the candidate part. Use the catalog’s stated conditions rather than inferring interchangeability from model-year overlap.
A public VIN decode supplies vehicle information; the manufacturer catalog and application records provide the part-selection context. If a relevant field is absent or conflicts with the physical vehicle information, ask the dealer or technical approver to resolve it.
| Comparison | Evidence to retain | Review route |
|---|---|---|
| Requested vs. shipped | Order line, warehouse SKU and item/package labels | Operations checks item identity |
| Catalog vs. application | VIN reference, catalog date, notes and installation position | Technical owner confirms application |
| Old vs. replacement part | Connector, mounting, dimensions and kit photos | Engineering reviews the relevant differences |
| Approved vs. supplier revision | Sample/drawing approval and lot or revision label | Product owner reviews change effectivity |
03
Compare the physical references without guessing the cause
Illustrative example: a customer reports that a replacement assembly has a different connector. First confirm which SKU and revision were shipped. Then compare the application notes and approved sample reference. Similar outer dimensions alone do not resolve the connector difference.
For a China-sourced component, send the supplier the case reference, photographs and approved specification. Ask for the offered revision and applicable conditions. The technical approver decides whether the case needs another catalog check, sample evaluation or an authorized replacement.
04
Separate inventory action from technical approval
A warehouse can check the received or shipped item against the instructed SKU, label, quantity and visible-condition requirements within its scope. A confirmed application change or an interchangeability decision requires the named technical authority.
Document whether the outcome is a corrected pick, a replacement, further review or another authorized disposition. Link any hold or release to the affected SKU, revision and lot. A returned item enters available stock only under the customer’s approved return and release rules.
05
Feed the decision back into sourcing and fulfillment
Keep the original report, evidence, confirmed conclusion and decision owner in the case record. If the problem affects application data, product specification or a supplier change, identify which catalog, purchasing and warehouse instructions require an update.
VIN EXPRESS can use agreed receiving, order and return records to support this review across China sourcing and U.S. operations. Share the evidence already available and name the person authorized to confirm fitment; the service proposal defines the accepted handling and reporting tasks.
